Introduction
RoomRecord is a rental inspection evidence app provided by DAWNSIDE PTY LTD ("Dawnside", "we", "our", or "us"). This Privacy Policy explains how we collect, use, store, and share information when you use the RoomRecord app, App Clip, website, and related services.
Information We Collect
Inspection content: photos you capture, room names, notes, spoken transcripts used to draft captions, timestamps, and generated inspection reports.
Account information: anonymous guest account identifiers, Sign in with Apple identifiers, and, if Apple provides them, your Apple account name or email for account linking and recovery.
Purchase information: app user identifiers, entitlement status, product identifiers, and subscription or purchase status handled through Apple and RevenueCat.
Usage and diagnostics: app events such as app opens, captures, room changes, export events, paywall events, and technical information needed to maintain reliability. Crash and diagnostic information may also be provided by Apple.
Device permissions: RoomRecord may request access to the camera, microphone, speech recognition, and permission to save photos to your photo library. You can manage these permissions in iOS Settings.
Speech, Notes, and Automation
RoomRecord uses on-device speech recognition where available to turn spoken inspection notes into captions. Note cleanup is designed to produce concise factual wording from your own notes. These features do not decide your tenancy rights, bond outcome, or whether your evidence is legally sufficient.
How We Use Information
- To capture, save, and export inspection evidence and PDF reports.
- To provide guest access, account linking, recovery, and App Clip to full app continuity.
- To manage purchase entitlements and restore purchases.
- To improve app reliability, understand feature usage, and fix bugs.
- To respond to support, privacy, and legal requests.
Storage
RoomRecord stores inspection state, notes, timestamps, and captured image files in the app's private storage, using the app group container where available and an Application Support fallback. Exported PDFs or images are created only when you choose export or save. Deleting the app may remove local data from your device, so you should keep your own exported copies of important reports.
Third-party Services
RoomRecord uses service providers to operate the app:
- Apple: App Store distribution, Sign in with Apple, App Clips, purchases, crash reports, and permissions.
- Supabase: authentication, database records, and storage used to operate RoomRecord services.
- RevenueCat: in-app purchase and subscription entitlement management.
- PostHog: product analytics and app event tracking.
We do not sell your personal information and do not use inspection content for advertising.
Disclosure
We may disclose information to service providers that help us run RoomRecord, if required by law, to protect the security or integrity of the service, or with your consent. We do not disclose your inspection photos, notes, or reports to landlords, agents, property managers, or tribunals unless you choose to share them.
International Processing
We are based in Australia, and our service providers may process or store information in Australia, the United States, the European Union, or other countries where they operate.
Retention and Deletion
We retain information for as long as needed to provide RoomRecord, maintain records, resolve disputes, comply with legal obligations, and support account recovery. You can delete inspection items in the app. You can also contact us to request access, correction, or deletion of personal information associated with your account or support request.
Security
We use reasonable technical and organisational measures to protect information. No method of transmission or storage is completely secure, so you should keep your device, Apple account, and shared reports protected.
Children
RoomRecord is not directed to children under 13. We do not knowingly collect personal information from children under 13.
Your Rights
Depending on where you live, you may have rights to access, correct, delete, object to, or restrict use of your personal information. We will respond to privacy requests in accordance with applicable law.
Changes
We may update this Privacy Policy from time to time. If we make material changes, we will take reasonable steps to let users know, such as updating this page or providing an in-app notice.
